Athletic Director Duties
- Make schedules for all sports (cross-country, volleyball, boys' soccer, boys' basketball, girls' basketball, weights, cheer, girls' soccer, baseball, track club, boys' volleyball (potential).
- Recruit coaches for each sport and communicate expectations, schedules, etc., with them.
- Propose coach salaries (based on prior experience, length of season, number of players, etc.) and get approval from the administration.
- Recruit officials for soccer, volleyball, baseball, and basketball and outline expectations, schedules, etc.
- Give the Administrative Assistant regular (weekly before and during seasons) sports updates to include in the Legacy Ledger to keep players and parents informed on upcoming seasons, camps, registration requirements, deadlines, etc.
- Give the Marketing Director monthly updates to include in the monthly Legacy Eblast, which will keep families apprised of sports news, upcoming seasons, registration deadlines and requirements, etc.
- Update pages for each individual sport on the Legacy Academy website as changes, schedules, camps, etc., are added. Update these ASAP before upcoming seasons so families can get all of the information they need from the website if they look there.
- Communicate the daily schedule to the office and staff.
- Talk to coaches prior to the season to figure out dates and times of camps, practices, open gyms, etc., to be included in the schedule and on the website.
- Work with the school nurse and administration to set up first-aid classes and concussion training and get proper forms to coaches for concussions and other incidents.
- Make a team page for each sport in SportsYou and communicate the instructions for signing up (via handouts and emails) to players and families. All team communication during the season is done through the app.
- Create schedules that include camps, practice days and times, and game days, times, and locations for each sport (Google Doc). Post a link to the schedule on SportsYou.
- Add all practices, games, meetings, camps, etc., to the Legacy Academy Master and Athletics calendars on the website.
- Update Master and Athletic calendars on the website as changes are made.
- Create/update Student Athlete Information, Participation Waiver, Student-Athlete Contract forms, and link to the “Sports Registration” page on the website.
- Check Athlete Information, Athlete Participation Waiver, and Student-Athlete Contract response forms daily in the weeks leading up to a new sport(s) to see what has been completed and what still needs to be turned in.
- Create a new page on the shared “Sports Registration” Google worksheet for each sport to track that all forms, current physicals, and payments have been turned in.
- Share this form with the office staff so that the Athletic Director or office staff can log payments for athletes.
- Update athlete information, including physicals, payment, uniforms, etc.
- Host a mandatory parent meeting (put it on the schedule and send out reminders in SportsYou) at the beginning of every season (in the gym). Introduce coaches, review key points from the Athletic Handbook, talk about drivers for away games, etc. Give the coaches a chance to meet with their teams after these meetings. Have parents/guardians sign in so there is a record of attendance.
- Communicate with other league ADs regularly about schedules, rules, changes to the league, tournaments, etc.
- Attend all home games (Attend some away meets and games)
- Organize drivers for all away games
- Give morning announcements to the office about notable accomplishments made by teams throughout the season.
- Order new uniforms when necessary.
- Organize, advertise, and put on a Legacy cross-country meet every fall (mid-October).
- Organize a float for the EHS homecoming parade each fall
- Coordinate and assist with the person overseeing the fields and facilities maintenance to discuss dates, needs for floor refinishing, field lining, soccer nets, etc.
- Order necessary equipment (i.e. game balls, scoring books, ref shirts, clickers, umpire brushes, bases, etc., paint, chalk, etc.)
- Recruit volunteers to do clock and book for volleyball, basketball, and baseball games; train if necessary.
- Coordinate with Elizabeth Parks and Rec to use their field for our home baseball games (The Legacy field is not big enough for games).
- Coordinate with Elizabeth Parks and Rec on dates and times for rec basketball practices from Jan-March. Coordinate with other community sports teams (i.e. EHS basketball, club basketball, volleyball, and baseball) on gym availability and put their practice times on the master calendar.
- Work with EHS (and EMS) to foster cooperation to grow and improve sports in our community:
- Work with EMS to coordinate our athletes going there for sports we don’t have and vice versa (Legacy kids go there for football, track, and wrestling, and EMS comes here for soccer and baseball). During these seasons, exchange weekly grade updates with them for eligibility.
- Check eligibility every Monday during sports seasons.
- If athletes are on the ineligible list, input it on the tracking spreadsheet and notify the player and parents/guardians via email (Send different emails depending on if it is week 1, 2, or 3)
- Send out a weekly email to coaches, admin, and special ed about athletes who are ineligible.
- Work with coaches, officials, parents, and admin throughout the year to help address any questions, issues, special events, ideas, etc., that arise.
Salary Range: $15,000-$25,000 depending on experience
