We are looking for a tech-savvy Administrative Assistant who is resourceful and has extraordinary time management skills to keep the back end of our office running smoothly in concert with our Broker-in-Charge. The admin is to maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication, and safety. The duties and responsibilities include but are not limited to scheduling meetings and appointments, managing our social media presence, making office supplies arrangements, greeting visitors and providing general administrative support to our employees.
Primary Objectives:
- Manage systems for databases, information, and back-office support
- Responsible for financial systems, including maintaining bookkeeping, paying bills, handling payroll, assuring the collection and deposit of commissions, maintaining the budget, and generating financial reports
- Assist BIC in the onboarding process for new hires
- Oversee all contracts and transactions through closing and filing of documentation
- Maintain and update as needed an operations manual that documents all systems and standards
- Coordinate the purchase, installation, and maintenance of all office equipment
- Be the first point of contact in handling customer inquiries or complaints
- Keep the ownership informed regarding any problems or issues that need to be addressed
