The Project Administrative Assistant is responsible for engaging with our Outsourced Accounting team and clients for services including project setup, data management & grooming, accounts receivable collection efforts, and internal project documentation. You should be able to manage multiple tasks with attention to deadlines, details, and budget requirements. Additionally, you are responsible for coordinating with team members to assist and complete internal and client tasks as needed.
Job responsibilities include, but are not limited to:
Client Engagement:

Coordinate and collaborate with the SN Client(s) and the team assigned to the Client/Project. Including developing and following a project plan to ensure Client goals are achieved.
- Adopt SN tools and processes to ensure consistency in service delivery.

Develop and implement best practices to optimize project management and accounting procedures.

Coordinate project kickoff meetings, prepare meeting agendas, and document meeting minutes.

Support the development and maintenance of project documentation, including project plans and One Note documentation.

Facilitate effective communication among project stakeholders, including team members, clients, and external consultants.

Maintain project documentation and records, including project files, correspondence, and contracts.

Assist in the preparation and distribution of project-related reports, presentations, and progress updates.

Follow up on action items and ensure timely completion of assigned tasks.
Ajera Experience (a plus):
-
Ability to navigate in the Ajera software with relation to Project Command Center, Client Invoices, and Accounts Receivable Collection Tools.
Documentation:

Maintain clear and concise client meeting notes and client workflow processes.

Update project notes weekly for team meetings.
What it takes to be a Stambaugh Ness Project Accountant:

Experience with Deltek Ajera
-
Experience in the Architecture and Engineering industry a plus

3+ years of experience in project acountant
-
Comfortable with ERP systems and ability to learn new systems expeditiously

Experience in small business and/or non-profits

Self-motivated and positive attitude

Strong organizational and computer skills (Microsoft products)

Excellent oral and written communication skills

The desire for knowledge to keep the skill set relevant

Ability to handle confidential and sensitive information appropriately

Salary:
The salary range for this position is an estimate of $60,000 - $75,000. A final compensation offer that falls within this range will be based on factors including, but not limited to, an individual’s skill sets, experience, knowledge, licensure and certifications, and geography. This position may be eligible for annual discretionary performance bonus opportunities, as well as new hire referral bonus program.
