Feline Fine Cat Clinic is looking for an experienced, customer-oriented receptionist who is seeking part-time employment (~24 hours per week Monday-Wednesday) to join our cat-loving crew in Bend, Oregon.
The receptionist plays a critical role at our clinic:
- Handles and/or directs calls, text messages and emails from current and prospective customers in a timely manner
- Makes a key contribution to clinic profitability and customer satisfaction by matching clinic medical capacity against the medical needs of patients and the availability of their owners
- Provides timely reminders to clients to assure better continuity of care for patients and mitigate the impact of missed appointments on clinic performance and booking times
- Contributes to the effective medical documentation of patients by printing/organizing “check-in” sheets, securing medical records from other veterinary clinics and emergency centers, scanning/attaching internal documents into patient and client files
- Contributes to the clinic’s Fear-Free culture by better preparing patient visits, getting patients quickly into exam rooms, as well as providing heads-up to staff on patients (or clients) with specific fear, anxiety, and stress concerns
- Takes payments from clients and helps maintain the petty cash drawer
- Supports the team with client/patient flow as necessary – from reception / check-out of clients, helping “turn” exam rooms, assisting with laundry etc.
- Works closely with the Business Director to ensure an effective “front-end” of the practice, from technology to business processes to maintaining cleanliness and appearance of the reception area.
A little more about our privately owned, non-corporate practice:
- Bright and open, quiet and clean, quirky-cat-theme-decorated 2700 sq ft clinic space opened in 2021
- Our feline only clinic team is comprised of 2 doctors, a Business Director, 5 tech/assistants, and an experienced receptionist who is shifting from full to part-time status to prepare for her retirement (which is what is driving the need for this job posting)
- Our clients are passionate about their cats and they need a more collaborative and engaging experience than what they typically receive from a busy small animal clinic
- Fear Free Practice Certified (the only feline practice with this designation in Oregon)
Pay, benefits, and credentials:
- $19-23 per hour base. Top of pay range is for well experienced / qualified candidates
- PTO and sick pay, accrual begins upon hire
- 70% employer contribution toward our offered health (medical and gap) insurance plan (employee must average 16.5 hours of work per week to be eligible)
- Retirement plan with 3% company contribution regardless of what you put aside
- Generous personal pet medical care discounts for your kitty(ies)
- Embroidered scrub sets
Must haves for the position:
- At least 5 years of experience as a receptionist / client service rep of which ideally 1 or more years include working in a veterinary or medical office
