Position: Scheduling & Advance Associate
Location: 1 Centre Street 15th Floor, North Building
Overview: The Public Advocate for the City of New York is a citywide elected official who serves as a direct link between the electorate and city government, effectively acting as an ombudsman, or “watchdog,” for New Yorkers by providing oversight of city agencies, investigating citizens’ complaints about city services, and making legislative or policy proposals to address perceived shortcomings of those services. The Public Advocate presides over New York City Council stated meetings and is a non-voting member of the Council with the right to introduce and co-sponsor legislation. Description:
Under the direction of the Director, the Scheduling & Advance Associate is responsible for all on the ground execution and logistics of public facing events, and external meetings for the Public Advocate. The Scheduling & Advance Associate is responsible for transporting materials, lit, banners and official Office of the NYC Public Advocate materials. At public events, the Scheduling & Advance Associate informs, leads, supports, and communicates with the Public Advocate.
Responsibilities:
● Coordinates the Public Advocate’s timing and position during programs at external events; identifying and checking in with the host or organizer; identifying elected officials for acknowledgement; determining the seating for the Public Advocate at functions and confirming the Public Advocate’s speaking time.
● Providing information and logistical support to NYPD Intelligence Division officers protecting the Public Advocate, identifying parking options for the Public Advocate’s vehicle; identifying the quickest route for the Public Advocate to enter and exit; and pre-registering with building security for the arrival of the Public Advocate’s traveling staff and security details
● At public events, informing, leading, supporting, and communicating with the Public Advocate’s Special Assistant and Director of Scheduling and Advance of any on-site information.
● Providing support to the Scheduling Department, which occasionally includes:
- Coordinating logistics for proclamations, Citations and Condolence letters between Borough Advocates and the Communications team
- Research and respond to all events and meeting requests from internal and external groups.
- Coordinate the Public Advocate’s calendar and appointments with Scheduling team, Under the direction of the Director of Scheduling and Advance
● Other tasks as needed and as assigned by the Director and Deputy Director of
Scheduling and Executive Operations.
Qualifications:
● Must possess a valid New York State driver’s license
● Expert knowledge of New York City/State venues; GPS systems
● Ability to process large amounts of information and multitask
● Thorough knowledge of Google Workspace and Microsoft Office products, including Word, Excel, and PowerPoint;
● Adaptability, which is required to succeed in a complex and fast-paced Executive Office
● Minimum of an Associate’s degree with 2 years of experience working on an administrative team
● Familiarity and or experience working with NYC government is preferred
● Ability to plan and prioritize effectively
● NYC Residency required within 90 days of hire
Salary:
● $ 55,000 Annually
