Front Desk Coordinator / Surgery Scheduler
A growing and busy Ambulatory Surgery Center is looking for an front desk coordinator / surgery scheduler to join our team.
This individual will serve as the liaison between our surgery center, patient and referring physician's office, ensuring the surgical experience for both patient and outside physician office is as smooth and efficient as possible. This position requires strong attention to detail. The best fit for this position is someone who is personable, very organized, has excellent time management skills, communicates effectively, has strong interpersonal skills, works both independently and as an extension of our team, and operates with the highest level of ethics, integrity and confidentiality which reflects the high quality of the company in terms of demeanor and professionalism.
Bilingual PREFERRED, but not a requirement. Prior experience in Ortho / Pain Management a plus!
Certified Medical Assistant not required but a plus!
Job Duties:
- Greeting and checking in patients, promoting a professional and welcoming atmosphere that enhances the quality of service and care offered to our patients;
- Answer phone calls, direct calls to the appropriate department, provide accurate information and take detailed messages;
- Communicate with referring physician office to coordinate time/date of surgical procedure, including any changes as they occur;
- Obtaining and verifying all pre-operative testing, medical clearance, consents and all other patient documentation has been received. Enters patient information into EMR and prepares patient EMR chart prior to surgery date;
- Maintaining surgery schedule, reviewing schedule to adjust as needed for maximum efficiency, coordinates with nursing team on schedule changes and adjustments, notifies patient of any changes to schedule, arrange patient transportation when needed;
- Collecting and posting facility fees prior to surgery date, understanding of and ability to explain fees, benefits and eligibility to patients;
- Scanning, attaching, reviewing and effectively working with EMR (SIS);
- Identifying, maintaining and protecting sensitive HIPAA information (Personal Health Information) and following procedures to ensure the security of such information;
- Maintains office supplies and equipment, tidiness of patient and staff areas, notifies management immediately of any maintenance issues with facility;
- Handle patient complaints and sensitive situations with compassion, empathy and professionalism. Conveys a positive attitude and professional image regarding the surgery center;
- Maintains accuracy in tasks despite frequent interruptions, function effectively in a faced-paced environment, use sound judgment regarding problem identification and resolution;
- Maintains medical records and manages medical records requests / subpoena's in a HIPAA compliant, timely manner;
- Assists medical staff and management when needed.
Requirements:
- High school diploma or equivalent.
- 2 years of Medical Office experience
- Medical terminology knowledge required.
- Medical scheduling experience required.
- Customer service experience required.
- Understanding of HIPAA and OSHA regulations.
- Excellent organizational skills, problem solving skills and the ability to multi-task while prioritizing tasks.
- Excellent verbal and written communication skills. Excellent phone etiquette.
- Computer savvy including MS Office, Google Workspace, with a strong emphasis on Google Sheets and Excel.
- EMR experience preferred (We use PrognoCIS and SIS).
- Have a friendly and welcoming disposition with patients, physician and co-workers.
- Experience with insurance verifications, eligibility and pre-authorizations highly preferred.
- Forward thinking, service oriented, concern for detail and accuracy.
- Reliability and punctuality a MUST.
- Ability to open surgery center when needed, sometimes as early as 5:00AM.
Position pays $20-22/hour depending on experience.
