We are looking for an organized, analytical Administrative Assistant with exceptional communication and problem-solving skills to assist the Office Administration team in all aspects of the day-to-day operations. Additional responsibilities include managing inventory of salesman samples and supporting Sales and Operational staff when needed.
Key Responsibilities:
- Support office administration in all aspects of the day-to-day operations.
- Assist with sorting and distribution of mail, messenger services, couriers, and deliveries.
- Assist with ordering & maintaining office supplies, equipment, and furniture.
- Assist in the execution and planning of company events, such as sample sales; assist with special projects and presentations.
- Ensure salesman samples inventory is continuously updated to maintain accuracy.
- Keep salesman samples labeled and organized neatly in the showroom.
- Fill out sample request forms and fulfill sample orders for buyers, account executives, and meetings.
- Ship and update tracking information of sample requests.
- Coordinate the return of samples with account executives/vendors.
- Catalog and organize prior season samples in storage.
- General support in other areas as needed.
Qualifications:
- Associate’s degree or 1-2 years of experience in a professional office setting
- Adhere to timelines and calendar dates to deliver an exceptional product, on-time
- Strong professional communication skills; clear, concise, and friendly in all situations (verbal, written, and telephone)
- Organized, detail-oriented, and the ability to multi-task
- Comfortable and experienced in dealing with people at all levels via the telephone and in-person
- Must be a collaborator and strong team player
- Positive, enthusiastic, discreet, and professional attitude
- Approachable and available
- Intermediate proficiency with Microsoft Outlook, Excel, and Word; good internet navigation and research skills
Full Time: Monday to Friday, 8:30 am to 5:30 pm.
