Purpose of Role:
This Administrative Assistant will provide administrative support to the Marex Chicago offices, responsible for greeting clients and visitors, answering and directing phone calls, working with department leaders. Ability to work across departmental functions while maintaining a professional demeanour. Address concerns and elevate issues that need immediate attention.

Responsibilities:

Handle multiline phone line console; answer calls and take proper action be it to forward or take a message and forward in a timely manner.

Portray a professionally outgoing personality when greeting visitors and clients and is attentive to offer and prepare courtesy beverages (coffee, water or tea).

Maintain the Lobby, Conference Rooms, Break Room, Supply Room & Copy areas clean and organized.

Receive and distribute mail to Compliance or corresponding person (3 Chicago locations within walking distance). Dropoff outgoing mail/correspondence.

Handle all courier responsibilities such as preparing FedEx shipments, dropping off FedEx envelopes at FedEx location, and receiving shipments and delivering to corresponding person.

Schedule conference rooms for meetings, conference calls and video conferences. Liaise with IT Department for meetings and conferences which might require their assistance for video/audio capabilities to ensure that all is prepared at the time of the event.

Keep inventory and order office supplies while maintaining an organized supply room.

Ensure kitchen is always well stocked and tidy.

Print/scan/copy/bind confidential documents for Executive meetings.

Assist with catering requests for meetings in the office with internal colleagues and/or external guests.

Travel Management:
-
Liaise with employees for business trips (flights, hotels, car transfers)

Ensure all required travel approvals are in place and travel is booked within Company policy/procedures

Review Expense Reimbursement reports to ensure all required information is reflected

Ensuring compliance with the company's regulatory requirements under the SEC, FINRA, NFA, CFTC and other applicable exchanges

Adhere to the operational risk framework for your role ensuring that all regulatory or company determined parameters are complied with.
