SUMMARY:
The Executive Director is responsible for the daily management of all campus operations and personnel including Education, Career Success, Student Success, Admissions, Financial Aid, and administrative staff. The Executive Director is responsible for ensuring the campus achieves all campus goals and meets all compliance and regulatory standards by following all prescribed processes and procedures. The Executive Director will assist with establishing standards and measurements in every department and manage to those standards to achieve and improve academic and operational effectiveness. The Executive Director should create an environment that fosters trust, provides training and development for employees, functions ethically, and is motivational to employees.
PRIMARY DUTIES AND RESPONSIBILITIES:
- General Management
- Hiring, training, supervising, and evaluating staff and faculty.
- Collaborate with other departmental leaders and company executives on managing time off requests, disciplinary actions, and terminations.
- Managing the physical plant ensuring the presentation and safety standards meet the standards set by the corporate office and institution, all state regulating agencies, the accrediting body, and other regulators.
- Ensuring overall customer satisfaction and student outcomes including graduation, completion, and career placement.
- Participating in and or conducting conference calls and meetings daily, weekly, and/or monthly as scheduled.
- Manage the overall campus profitability and expenses using monthly budgets and established metrics.
- Administrative Support
- Ensure the front desk personnel:
- Present a personal image and work area that is consistent with the organization’s standards. This includes courteous and prompt handling of all incoming callers (avoiding unnecessary hold times), visitors and prospective students at the campus.
- Accurately record and immediately distribute new inquiries to the admissions representatives.
- Provide administrative support as needed to campus staff.
- Admissions
- Manage the admissions team to consistently meet and/or exceed the budgeted start goal and start dollars monthly.
- Review all new student start file documentation, ensuring the files are without error and documentation meets all compliance standards prior to the student beginning class.
- Partner with the Corporate Admissions team to:
- Facilitate the hiring and training process of all new admissions staff.
- Identify training opportunities and develop ongoing training initiatives to continue professional development of admissions staff.
- Communicate any performance and/or salary reviews as well as disciplinary or corrective action plans.
- Assign and distribute monthly admissions goals.
- Plan, coordinate and/or host campus-based admissions events including open house, referral events, high school tours, etc. to increase visibility and new student enrollments.
- Financial Aid
- Manage the Financial Aid team to ensure:
- Compliance as it relates to the organization’s policies and federal regulations.
- The packaging process for the students is customer oriented, timely and efficient, whereby the student receives the necessary information, and the experience is an extension of the admissions process.
- Conduct weekly FA accountability meetings to review outstanding file processing and R2T4 issues.
- Work with the CCO and financial aid servicer to identify training opportunities, communicate staffing needs, discuss, and implement changes in federal regulations or processes.
- Career Services
- Manage Career Services to meet and/or exceed placement outcome percentages established by the organization and accrediting body.
- Routinely conduct and/or observe student consultations, workshops, etc. on job readiness and job lead generation.
- Coordinate on-site events such as job fairs and employer visits; identify staffing needs, training opportunities, etc.
- Education
- Manage the educational process to ensure an environment that fosters excellence in student service and a commitment to delivering a quality product, which is student focused, according to the prescribed methodology.
- Collaborate with the Corporate Education and Operations team, and Manage the Lead Instructor to ensure:
- Adequate staffing levels, ongoing faculty training and development, progressive disciplinary action, and documentation of such actions.
- Faculty and staff meetings are effective, regularly scheduled, and minimally review student progress, attendance, counseling, and updates as needed to policies and procedures.
- Graduation and completion rates set by the organization and the accrediting body are consistently met on a monthly and quarterly basis.
- Student assemblies are conducted monthly.
- Standardization as it relates to the curriculum, textbooks, media-based materials, and other ancillary materials used within the department.
- Conduct monthly textbook, classroom, and clinic supplies inventories to ensure adequate stock and loss prevention.
- Timely and effective Second Orientations and Confirmation Council.
- Resolve student concerns and/or complaints in a timely fashion.
- Effectively Manage Registrars and Student Services/Retention Personnel to provide accurate reporting, accuracy of documentation, timely processing, conducting effective student meetings, etc.
- Partner with the other departments to ensure student retention and satisfaction.
- Utilize assessment tools for course and faculty evaluations.
- Evaluate programs, student progress, and attainment of employment upon graduation and identify trends.
KNOWLEDGE AND SKILL REQUIREMENTS:
The Executive Director must possess a minimum of 3-5 years of related work experience with a demonstrated history of success managing at the executive level within a proprietary education environment. The Executive Director must have a thorough knowledge of recruitment, training and development, statistical analysis, retention, and attrition measures. Possess excellent organizational, interpersonal, and communication skills. Computer skills are necessary with the ability to develop reports and run analyses. General knowledge of employment laws and best practices helpful. Bachelor’s Degree is preferred.
