Overview:
We are an entrepreneurial and rapidly growing financial services firm seeking an exceptional Bookkeeper/Administrative Assistant. This role requires an individual with a strong background in accounting and excellent administrative, computer and organizational skills.
The ideal candidate should be a self-starter, an efficient multi-tasker that remains unflappable under pressure, comfortable working in a small company environment, and who exhibits a high level of confidentiality and reliability. There is future growth opportunity to take on additional operations related duties assisting in servicing client accounts and client reporting.

Responsibilities:
- Manage sensitive and confidential business/personal matters and assist with special projects.
- Perform bookkeeping tasks across multiple companies using QuickBooks, including intercompany transactions.
- Handle financial transactions including accounts payable, processing bank wire transfers, deposits, and account reconciliations.
- Develop spreadsheets and presentations, utilizing Excel and PowerPoint.
- Draft, produce, and edit correspondence and documents.
- Maintain physical and digital filing systems to ensure efficient organization.
- Schedule meetings, greet clients/visitors, and manage multiple calendars.
- Oversee the procurement and management of office supplies and and manage vendor relationships.
- Provide general office support including faxing, copying, filing, telephone coverage, and mail.
Requirements:
- Minimum of 3 years of administrative experience, with preference given to those with experience in the financial services industry.
- Minimum of 3 years of accounting and bookkeeping skills; experience with finance industry accounting highly regarded.
- Excellent verbal and written communication abilities; proficient phone etiquette.
- Strong organizational skills with the ability to multi-task and handle stressful situations.
- Independent worker able to exercise sound judgment and anticipate needs without specific instructions.
- High level of proficiency in QuickBooks and Microsoft Office (Word, Excel, Outlook). Familiarity with website maintenance and PowerPoint is a plus.
- Demonstrated ability to work both independently and under direction, with a willingness to take on operations duties and learn new skills.

- Daily Hours are typically 11 am – 5:30 pm, with some potential additional hours as required.
- Compensation starting at $24/hr.
