Position Summary
The Executive Assistant directly supports our Medical Director through a variety of administrative duties and executive projects. These responsibilities include managing the executive’s calendars and extensive travel schedules, daily monitoring the executive’s email inbox, submitting expense reports, and preparing supplies for events.
The ideal candidate should have a desire to work in functional medicine to include anti-aging and bio-identical hormones, as well as diet and nutrition. This practice is highly specialized and will require you to have a keen interest in preventative health and be able to talk openly about improving life-style habits with patients.

Objectives
- Ensure all administrative responsibilities (as detailed above) are fully executed with the utmost attention to detail, efficiency, and within deadlines
- Coordinate travel and flight plans for 10X Health Executive team
- Guard the executive’s’ time and access as a gatekeeper, determining which meeting requests to approve or deny—in alignment with the executives’ priorities and the organization’s goals
- Follow applicable processes and procedures as well as write and maintain processes for their own responsibilities
- Prepare daily statistics reports for the daily all-team call and executive meetings
- Compile and submit monthly expense reports on behalf of the co-founders.
- Inform the administrative team lead and executives of any foreseen roadblocks or delays
- Setup and breakdown IV stands and other event supplies for in-person events/house calls
- Generate presentations and other collateral as needed for the Medical Director
- Assist with ordering supplies and keeping track of inventory
- Following up with patients to ensure their inquiry or complaint has been satisfactorily resolved
- Performing administrative and clerical duties, such as running errands, when necessary
- Perform ad-hoc requests from the CEO of 10X Health
Competencies
- Ability to manage multiple calendars, scheduling travel, monitoring multiple email inboxes
- Ability to ensure action items are executed by the necessary stakeholder
- Ability to resolve any issues presented by patients or staff, to include addressing complaints and designing solutions with the utmost professionalism and a desire for win-win outcomes
- Experience juggling multiple projects and recurring duties simultaneously, ensuring efficient completion within deadlines and sharp attention to detail
- Willingness and ability to work extended hours or weekends as needed to support the occasional local patient events or special projects
- Willingness to respond to texts, emails, and calls from executives, staff, and patients outside of standard office hours
- Ability to establish and maintain effective working relationships with staff, patients and the public
- Proven experience in storing and retrieving digital files and maintaining databases
- Exhibit a “can-do,” positive attitude at all times
- Ability to work independently with minimal supervision in an ambiguous environment
- Ability to use Microsoft Office, including PowerPoint and Excel
Education & Experience
- Associate's degree preferred
Physical Requirements
- Travel -- up to 50% (Florida; New York; Nevada; California)
